Administrative Assistant / Intake Officer

As the first point of contact, our administration team plays a vital role in ensuring clients have a positive, seamless experience while navigating our developmental and learning services.

The Opportunity

  • Role Type: Casual or permanent part-time (2–3 days per week).
  • Availability: Must be available to work Wednesdays and Fridays.

  • Location: Based at our Heatherton clinic.

What You’ll Do

You will work closely with our psychologists and admin team to manage the “front door” of our practice. Your core responsibilities will include:

  • Client Intake: Providing high-quality service to new clients, triaging bookings, and explaining our assessment and counselling processes.

  • Funding & Estimates: Offering service cost estimates and guiding clients through funding options like NDIS, MHCP, and Medicare.

  • Practice Management: Using Halaxy to manage client profiles, schedule appointments, and handle essential documentation.

  • Liaison: Coordinating with third-party organisations and managing general reception duties.

What You’ll Bring

We are looking for a reliable team player who is committed to the well-being of children and young people.

  • Experience: Previous administrative experience in an allied health or medical setting is highly regarded.

  • Technical Skills: High level of computer literacy; experience with Halaxy is a significant plus.

  • Communication: Exceptional communication skills with the ability to explain complex service information clearly.

  • Organisational Skills: Strong time management and the ability to work independently in a fast-paced environment.

  • Compliance: A valid Working with Children Check is mandatory
